Vacation Policies

  • Number of Vacation Days per year:

    • PGY-1: 21 day

    • PGY-2: 28 days

    • ​PGY-3: 28 days
  • Rules for scheduling Vacation Days:

      • You must use a minimum of 4 days
      • You can use a maximum of 7 days per 4 week block. You can take more than 7 days off in a row, but it must span over 2 separate blocks
      • Only 1 week of vacation allowed between the two Neuro blocks

      • No vacation during Obs months

      • No vacation during Trauma

      • PGY-1s must use at least 7 days and PGY-2s/PGY-3s must use at least 14 days of vacation before 12/31/18. This is the minimum, you may use more than this if you choose.

  • Blackout Dates: These rules are Dr. King's rules so there are no exceptions.

      • December 15 - January 10: No vacations for any residents who are working in the Emergency Department during this time frame.
      • June 15 - June 30: No vacations for anyone on any rotation.

  • ED Shift Reductions: For an ED block in which you are taking vacation, you will get the following shift reductions. Remember the only way you would have a 1, 2, or 3 vacation days in a block is if your vacation bridges over 2 blocks.

      • 7 day vacation = 4 shift reductions
      • 6 day vacation = 3 shift reductions

      • 5 day vacation = 3 shift reductions

      • 4 day vacation = 2 shift reductions

      • 3 day vacation = 2 shift reductions

      • 2 day vacation = 1 shift reduction

      • 1 day vacation = no shift reduction

  • Deadline for submitting vacations: .

      • All vacations for first half of the year (7/1-12/31) are due by 9/15/18
      • All vacations for the second half of the year are due by 1/1/18

      • For the early blocks before 9/15, it is also important that vacation for a specific block to be turned in by the Requested Day off deadline.

      • It is important to follow these deadlines. This ensures that we can make sure everyone gets their vacations. If you do not submit your vacation by those dates then you will get the appropriate shift reductions in exchange for your vacation days.

      • Please remember that when we put these into New Innovations, this does NOT mean that they are guaranteed. Nothing is 100% guaranteed until that block schedule is made.

REQUESTED DAYS OFF POLICIES

  • What are requested days off?

    • Requested days are days that you would prefer to have off during an ED block, but don't want to take actual vacation for.

    • We will do everything possible to make the schedule to grant these days, but please remember that they are requests and it may not always be possible. These days are NOT GUARANTEED. Please do not buy airline tickets or make firm plans based on requests off.

  • Rules for submitting Requested Days off:

    • Maximum day off requests for a 4 week block is 4 days total

    • You can request a maximum of 3 days in a row off. Anything more than 3 days in a row must be submitted as vacation.

    • All requests must be submitted by the specific deadline for each block.

    • If you are granted a requested day off on a grand rounds day this does not mean you are excused from grand rounds. If you have something important going on you need to talk with the Kat and the chiefs to determine whether or not you will be counted as excused.

  • How to submit Requested Days Off:

    • Please remember that if your request off is for taking boards or something else extremely important please let us know when you make the request.

    • These are entered into New Innovations when submitted, but they are NOT guaranteed until the block schedule is released. If we are unable to accommodate your requests we will notify you as soon as possible.
